Roaming Elk Award Rules

Rule #1

The trophy will be intially be awarded by lottery at the State Convention each year

Rule #2

To capture the trophy, a Lodge must send a minimum of five (5) members to the Lodge that has possession of the trophy

Rule #3

The members capturing the trophy must be in good standing, and must provide proof of membership by exhibiting their membership cards to the Lodge possessing the trophy

Rule #4

The Trophy must be captured at either a Lodge function (e.g. Dance, Karaoke Night, Charity Fundraiser, Community Service Program, State Function, Grand Lodge Program, District Deputy Clinic, etc.) or at a regular Lodge Meeting.

Rule #5

The members capturing the trophy must remain at the Lodge possessing the trophy for a minimum of one hour.

Rule #6

If two or more Lodges are attempting to capture the trophy at the same time, the winner will be determined as follows:

A.    The Lodge with the most number of members present will take home the trophy; or if the Lodges vying for the trophy have the same number of members

B.    The Lodge that traveled the furthest distance will capture the trophy (See Distance Table Below)
 

Rule #7

The winner of the Trophy will be determined at the approximate mid-point of the event, or under "Good of the Order" if at a meeting. At an appropriate time following the mid-point of the event, or if during a meeting, under "Good of the Order," the Lodge possessing the trophy will present it to the capturing Lodge.

Note:
Lodges must have met the minimum requirements under Rules #2, #3, and #5 to qualify. Rule #5 may be waived only if the members who are capturing the trophy are
capturing it at a Lodge meeting, and have remained for the full duration of the meeting through "Good of the Order." Also, under the laws of the Order, the meeting agenda may be rearranged to move "Good of the Order" to a point earlier in the meeting.

Rule #8

Only members of Lodges within the District are eligible to capture the trophy within that District (No Cross District Capturing)

Rule #9

Scoring shall consist of earning 30 Points for capturing the trophy, and one point for each "Full Day" the trophy has been held. The day of capture does not count as a full day.

Rule #10

Upon capturing the trophy, the Lodge who held possession will note the day of capture, and the capturing Lodge in the accompanying logbook. It will be the responsibility of the Capturing Lodge to notify the District Vice-President that they have captured, and are in possession of the Trophy. The District Vice-President will notify the State President, Webmaster, and Public Relations Director who is in possession of the trophy. It will also be the responsibility of the capturing Lodge to note in the Logbook the date of capture in the appropriate place. Points will only be credited by the District Vice-President, and will only be credited once they have been notified.

Rule #11

If a Lodge captures the trophy, and does not notify the District Vice-President, either by e-mail, telephone, or other means that they have captured the trophy within 3 days of
having captured it, they will lose the 30 capture points, and will only accrue the possession points (1 per day) starting only when the District Vice-President is notified.

Rule #12

It is the responsibility of the Lodge that has possession of the trophy to display it in a secure manner to preven damage to the trophy. It will be the further responsibility of
the Lodge having possession of the Trophy to keep it in good repair, and if damaged while in their possession, to have it repaired it at their cost. (normal wear and tear excluded)

Rule #13

A Lodge that intentionally hides the trophy, tries to deceive other Lodges who are trying to capture it, or denies a Lodge the trophy after it has followed the rules, including disallowing members to attend a meeting to do so will be penalized 60 points for the first infraction, or will become ineligible to capture or possess the trophy for the remainder of the year upon any further infractions.

Rule #14

Any questions, complaints or interpretation of the rules, or development of new rules as needed will be determined by the State President, and will be published on the MEA website.
